What we collect, and what we don't.

We wrote this the way we write our agreements — in language you can actually read. Every claim below describes something this website really does, or really doesn't do.

The short version

We collect the details you choose to send us, and almost nothing else.

This website has no analytics, no advertising trackers, and no third-party scripts watching what you read. If you ask us for a quote, we keep what you typed so we can answer you. If you sign in to the client portal, we keep enough to know it's you. We don't sell or rent personal information to anyone, and we never have.

The rest of this page is the same thing said carefully.

What this policy covers

This policy covers the TKIT, Inc. website and the client portal you reach by signing in at /portal. It describes how we handle information about visitors, prospective clients, and the people at client businesses who use the portal.

It does not govern the data we look after as your IT provider — the files on your computers, the contents of your backups, your Microsoft 365 mailboxes. That is covered by your service agreement with us, and summarised in client data we handle as your IT provider below.

What we collect

Three things, in three different situations.

When you request a quote

The contact form asks for what we need to price your setup and get back to you. You give us:

  • Required.Your name, your business name, and an email address.
  • Optional.A phone number, roughly how many employees or users you have, roughly how many computers and servers, and whatever you tell us in the message box.
  • Added automatically.The date and time your request arrived.

Nothing on that form is inferred, enriched, or bought from a data broker. We know only what you type.

When you sign in to the client portal

Sign-in is handled by WorkOS AuthKit, our authentication provider. Your password is set and checked with WorkOS — it never passes through this website. Once you're signed in, the portal reads your name, email address, the organisation your account belongs to, and your role within it, so the page can greet you and show the right account.

When you simply visit a page

Our hosting provider keeps the standard request records any web server keeps: the IP address the request came from, the browser and operating system it reports, the page asked for, and the date and time. These are used to keep the site running and to investigate abuse or faults. We don't use them to build a profile of you.

What we don't collect

This part matters as much as the last one, so here it is plainly. On this website there is:

  • No analytics.No Google Analytics, no product analytics, no heatmaps, no session recording. We do not know which pages you read or how far you scrolled.
  • No advertising or cross-site tracking.No ad pixels, no retargeting tags, no third-party cookies, nothing that follows you to another site.
  • No third-party fonts.The typefaces are downloaded when the site is built and served from our own servers, so opening a page makes no request to Google or any other font host.
  • No hot-linked images.The photography is stored and served by us. Attribution for it is on the photo credits page.
  • No sale of personal information.We do not sell, rent, or trade personal information, and we do not share it for anyone else's advertising.

Cookies

The public pages of this site — everything outside the client portal — set no cookies at all. There is no cookie banner because there is nothing to consent to.

Signing in to the portal sets two, both strictly necessary:

  • A session cookie.Encrypted, and written once you've authenticated. It's what keeps you signed in as you move between pages. Signing out clears it.
  • A short-lived sign-in cookie.Written the moment you start signing in and used once to complete the exchange securely. It is discarded immediately afterwards.

Neither can be used to track you across other websites.

How we use what we collect

  • To answer your quote request and prepare a price for your setup.
  • To keep talking with you about that request, until you tell us to stop or the conversation ends.
  • To let you into the client portal, and to keep unauthorised people out of it.
  • To keep the site available, secure, and working — including investigating errors and abuse.
  • To meet our legal, tax, and accounting obligations.

We will not add you to a marketing list because you asked for a quote. If we ever start a newsletter, joining it will be something you opt into deliberately.

Who else sees it

A short list of service providers, each doing one job on our behalf and bound to handle the information only for that job:

  • Amazon Web Services.Hosts this website and keeps the server request records described above.
  • WorkOS.Runs sign-in for the client portal and holds the credentials for it.
  • Quote requests.Submissions from the contact form are delivered to a third party system, where we read and answer them.

Beyond that, we disclose personal information only when the law requires it — a valid subpoena, court order, or comparable legal demand — or where we must to protect someone's safety or defend our rights. If TKIT were ever sold or merged, information would transfer with the business, and this policy would continue to apply until you were told otherwise.

How long we keep it

  • Quote requests.Kept indefinitely. if they don't become an account. If you become a client, the request becomes part of your account record.
  • Client account records.Kept for the life of the agreement and for at least 7 years afterwards, so we can meet tax and legal obligations.
  • Portal accounts.Kept while you have access. Tell us someone has left and we remove their account.
  • Server request records.Kept for a short period by our host and then rotated out.

You can ask us to delete your information sooner — see your choices.

Client data we handle as your IT provider

Delivering managed IT means we necessarily have access to your systems: the monitoring agent on each computer, the daily backups and their offsite copy, your Microsoft 365 accounts, and the password manager we provide. Some of that will contain personal information about your staff and your own customers.

Our position on it is the same one we put on the About page: your data belongs to you, full stop. Concretely, that means:

  • We access your systems to deliver and support the service you've asked for, and for no other purpose.
  • We do not read, mine, or analyse your business data for our own ends, and we never sell it.
  • Access is limited to the technicians who need it to do the work.
  • When an agreement ends we hand back your passwords, documentation, and backups, then securely erase your data from our systems.

Where you are subject to rules of your own — HIPAA, PCI DSS, or a regulator's requirements — the specific terms live in your service agreement rather than in this policy. Ask us and we'll walk you through them.

How we protect it

  • Every page of this site is served over an encrypted connection.
  • Portal sign-in runs through a dedicated authentication provider, and the session cookie it issues is encrypted.
  • Access to the systems holding client information is limited to the people who need it, and protected by strong, unique credentials.

No system is perfectly secure, and we won't claim otherwise. If a breach ever affected your personal information, we would tell you and any regulator we're required to notify, without dressing it up.

Your choices

Write to us at info@tkitconsulting.com and we will, within a reasonable time:

  • Tell you what personal information we hold about you.
  • Correct anything that's wrong.
  • Delete it, unless we're required to keep it for legal or accounting reasons — in which case we'll tell you which parts and why.
  • Stop contacting you about a quote request you no longer want to pursue.

We do this for anyone who asks, wherever you live, rather than only for people covered by a particular statute. Depending on where you live you may also have specific legal rights — and asking us costs you nothing either way.

If you're a member of staff at a client business and want to know what's held about you in that context, start with your employer — the account is theirs, and we'll act on their instruction.

Children

This is a website for businesses. It isn't directed at children, and we don't knowingly collect information from anyone under 13. If you believe a child has sent us personal information, tell us and we'll delete it.

Changes to this policy

If we change how we handle information, we'll update this page and move the date at the top. Where a change is significant — a new category of information, a new provider seeing it — we'll say so clearly here rather than quietly editing a line, and we'll tell active clients directly.
